ProScope Implementation

Summary

Deecon were engaged to understand whether ProScope was the right fit for Avove’s commercial and operational requirements. Through stakeholder engagements, system reviews, and technical workshops, Deecon produced a Final Recommendation Report. This included quick-wins and longer-term strategic recommendations.

Situation & Approach

Deecon were engaged to fully understand Avove’s new system ProScope, which sat under Oracle’s NetSuite. Avove stakeholders had raised concerns that ProScope was unable to fulfil their operational and commercial requirement. Deecon highlighted areas in which further bespoke development was required, in order to tailor the system to Avove’s operations.

Deecon began their engagement by conducting a current-state analysis, which identified the extent to which ProScope’s functionalities were being adopted by Avove. The team utilised 3 sample projects, consisting of 1 small, 1 medium and 1 large scheme to prove ProScope’s existing functionality. By utilising a variety of project types, Deecon were able to identify project-specific nuances, and test ProScope’s capabilities for different contract scenarios.

Deecon organised weekly touchpoints to demonstrate the system and highlight where additional functionalities, such as detailed project reporting, advanced invoicing, and commercial management, could be adopted.

A key challenge was accessibility. In order to test and build functionalities within ProScope, approval was needed from the assigned admin user. The team successfully mitigated this risk by organising a weekly touchpoint with the admin user to ensure approval was given.

Deecon produced a Granular Proving Report, which included descriptions of system areas, the commercial implications of adoption, and change management requirements needed for implementation.

Deecon also presented a Final Recommendation Report, which included 32 tactical and strategic recommendations for the successful implementation of ProScope and its additional functionalities. The Report also included a comprehensive implementation timeline, as well as a detailed roadmap for longer-term changes to be managed.

Results

  • Enabled Avove to utilise ProScope’s full functionalities

  • Drafted comprehensive Business Requirement Documents with cross functional user stories and detailed acceptability criteria

  • Unlocked additional opportunities including the Job Costing Estimator to break down complex project costings into a manageable process
