Summary

Instalcom engaged Deecon to build a bespoke commercial tool to speed up the CVR consolidation process. Deecon reviewed Instalcom’s current state and identified areas of inefficiency. The team subsequently designed, built, and implemented a bespoke system on Monday.com.

Situation & Approach

Conducted stakeholder workshops and one-on-one interviews to map all inputs, actions, and outputs for each stakeholder. Deecon conducted a GAP analysis to understand business functions had the potential to be automated and expedited. The current state analysis was presented in a detailed recommendation report.

Completed thorough assessment of 30 different systems, by utilising a bespoke scoring model to objectively evaluate systems based on 4 key criteria: Flexibility, Communication, Governance and Workflow Management. 3 systems were shortlisted, and one selected, Monday.com. All shortlisted systems were demonstrated to the Client.  

Utilised user stories, business requirements and stakeholder workshops alongside knowledge of the system to conduct feasibility and optimisation activities. Process maps were created to understand the inputs, actions, and outputs for each critical activity. Once established, each function was created and automated around the new to-be process maps.

Results  

  • Created an integrated, dynamic, and user-friendly system within Monday.com to effectively manage the CVR for Instalcom’s contract

  • Developed a system with a total of 66 automated processes, and 2 high-level dashboards all across the 16 business functions within the commercial and operations departments
