Merger Programme PMO Solution

Deecon partnered with Brent, Wandsworth and Westminster (BWW) Mind to streamline their Merger Programme by implementing a tailored PMO solution and supporting the change management process. The initiative led to the successful adoption of Monday.com, enabling the client to monitor key merger activities and deliver the programme with greater efficiency and transparency.

The Requirement

In 2024, Deecon was engaged by Brent, Wandsworth and Westminster (BWW) Mind to develop a PMO tool to support the merger with Kensington and Chelsea (K&C) Mind, which formed West Central London (WCL) Mind. The objective was to enhance operational efficiency and secure stakeholder engagement. The scope included researching and selecting a platform capable of managing complex programme requirements, tracking activities against their progress and respective timelines, resource allocation, and communications.

The Solution

To deliver an effective solution, Deecon collaborated closely with stakeholders across departments, conducting a series of workshops to gather detailed user requirements. These open and insightful sessions enabled Deecon to understand the unique needs of each team, ensuring the final tool was adaptable across the charity.

Through this process, Deecon identified key challenges related to resourcing, timelines, and dependencies. Leveraging our agile approach and innovative mindset, we worked alongside Mind to address these challenges. Monday.com was selected as the optimal solution.

The PMO tool was configured to manage merger activities across five core departments:

  • People and Organisational Development

  • Operations and Strategy

  • Finance and Contracts

  • Data and Systems Governance

  • Marketing and Communications

The Results

Deecon successfully implemented Monday.com as the central PMO tool for WCL Mind’s merger programme. The solution enabled the charity to track both programme activities and department-specific tasks across five business functions.

The collaborative engagement facilitated by Deecon helped to identify and resolve critical challenges in resource management, timeline adherence, and programme dependencies.

By project completion, the PMO tool actively tracked 44 activities and 160 sub-item tasks, each with clearly defined accountability, timelines, dependencies, and completion statuses. Beyond operational enhancements, the project fostered a culture of continuous improvement and improved organisational coordination across WCL Mind.
