Cost Value Reconciliation System Implementation
Summary
Deecon optimised Instalcom’s commercial governance and Cost Value Reconciliation (CVR) processes, implementing an automated system-driven solution within Monday.com to replace manual workflows.
The Requirement
Deecon were engaged to review and enhance Instalcom’s commercial management process and governance model for the CVR of its contract with Lumen, replacing a previously manual process. This included identifying and mapping the current stakeholders’ management of commercial procedures (As-is state).
The Solution
Deecon conducted stakeholder workshops to understand the current ‘As-is’ model, including identifying all stakeholder inputs, outputs and systems in place. The current operating model was then reviewed against industry best practice to identify risks and problem areas in current processes, driving opportunities for optimisation or automation. This was complemented by systems research and commercial stakeholder engagement sessions to define the ‘To-be’ model. Following this, Monday.com was shortlisted and recommended as the most applicable system to migrate the CVR process and supporting workstreams.
During the implementation phase, Deecon designed, built and tested a system to expedite the CVR process, utilising gated workflows and visible user responsibilities. We built a system that utilised existing Instalcom processes, enabling clear communication of data between operations and commercial teams.
The Results
Phase 1 and Phase 2:
Produced detailed reports from workshop insights and process maps for current state (As-is) assessment, including Responsible, Accountable, Consulted and Informed (RACIs) and user requirements
Provided a recommendation report, including an evaluation of multiple solutions to optimise the current commercial model based on the ‘To-be’ process
Deecon was awarded Phase 3 to implement the recommended solution
Phase 3:
Created an integrated, dynamic, and user-friendly system within Monday.com to effectively manage the CVR for the Lumen contract
Developed a system with a total of 66 automated processes
Figures were supported with visual dashboards, export templates and reporting deliverables
